Description

SUMMARY

Ensure efficient operation of school office and provide clerical services for school’s administrative staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    • Prepare written correspondence, forms, schedules, or reports using personal computer or typewriter.
    • Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested.
    • Maintain daily teacher attendance log and records for substitute teachers.
    • Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established guidelines.
    • Maintain school calendar of events.
    • Schedule meetings and appointments and maintain calendar for principal.
    • Assist students, teachers, and parents as needed.
    • Receive incoming calls, take reliable messages, and route to appropriate staff.
    • Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
    • Update handbooks, policy manuals, and other documents as assigned.
    • Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records.
    • Process requisitions for purchase orders and request for payments.
    • Receive, store, and issue supplies and equipment.
    • Prepare and make cash deposits for activity account(s). Record deposits in order to maintain activity ledger.
    • Assist in coordination of faculty meetings and campus activities.
    • Assist with campus budget preparation.
    • Maintain confidentiality.
    • Perform other duties as assigned by Principal.

EDUCATION and/or EXPERIENCE

High school graduate or equivalent and one to three years secretarial experience, preferably in a public education environment. Proficient typing, word processing, and file maintenance skills a must. Effective organizational and communication skills. Ability to use personal computer.

LANGUAGE SKILLS

Ability to read and write correspondence. Ability to effectively respond to questions from administrators, faculty, parents, students and the community. Strong communications, public relations, and interpersonal skills.

MATHEMATICAL SKILLS

Ability to perform basic math and to calculate figures and amounts such as discounts, interest, commissions, and percentages.

REASONING ABILITIES

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
